Interpreting your usage dashboard

This article will help familiarise you with the different parts of the LearnSci Analytics usage dashboard.

Board structure

Tabbed views

When you launch LearnSci Analytics, you will see a series of different tabs available.


  1. Last 12 months: This view uses a dynamic filter to provide usage data for the most recent one year period.
  2. Previous academic year: This view provides data for the previous academic year, either September to August or January to December depending on global location.
  3. Smart Worksheet performance: This view provides data on Smart Worksheet attempts and student numbers for the last three months, and navigation to the performance dashboard for each Smart Worksheet that has been used.

Board filters

There are several filters available at the top of each view, which can be used to drill down into more specific data. Remember to click Apply once you’ve made any changes to filters to see the data update.

Usage data is available going as far back as September 2021 although, as explained above, only the most recent data will be shown as default.

  1. Date: The default dates vary between tabs and can be amended by any user if it is more appropriate to look at a different data range. You need to select the Apply button on the edit time range dialogue box as well as on the board itself.
  2. Product type: LearnSci resources fall into several product types and this filter can be used to look at a subset of these products.
  3. Resource title: This filter can be used if you want to review usage for a specific LearnSci resource. Only options where there is usage recorded within the selected date range will be available to select.
  4. Resource ID: If you know the unique identifier for a resource, you can use this filter to drill down. For custom Smart Worksheets, this is the identifier listed on your most recent quote or invoice.

There is an indicator in the top right corner of each dashboard element that allows you to see which filters have been applied. 


Data from any chart or table can be downloaded to a spreadsheet or as an image using the menu in the top right corner. This may be useful for further analysis or sharing in reports.


Last 12 months & Previous academic year tabs

Current product subscriptions

This table records all current product subscriptions held by the institution, and whether there is a limit on the number of users. It is only available on the Last 12 months tab.


Engagement and return on investment

This section provides estimates of student time spent on products, and marking time saved through the use of Smart Worksheets. 

This assumes that a student spends 10 minutes on each LabSim attempt and 15 minutes on each Smart Worksheet attempt, and, if it required manual marking, an instructor would spend 10 minutes marking each Smart Worksheet attempt. These figures are likely an underestimate.  



Your LearnSci usage

This section forms the bulk of the dashboard. It starts with top level metrics on the number of resources in use, unique users and total attempts, before breaking this down to identify the number of resources used from different product types. 

Further data is provided on the number of attempts per resource, unique users and average attempts per user. This provides an indication as to repeat uses of a resource, something that is of particular interest for LabSims accessed as learning activities rather than quizzes. There is also a search box that you can use to find usage for a particular activity.


You can select anything in the activity or product type columns to cross-filter the entire board to show data related to that item. When finished or to filter to a different item, remove the cross-filter from the filter bar at the top of the dashboard. 

The TEL or VLE team at your institution should be able to provide you with information regarding where on your VLE different activities have been set up. That is data outside the LearnSci platform so is not something we can provide.


LearnSci attempts over time

This section provides data on the number of attempts started each month, broken down by product type, and the number of unique users starting attempts each week. It allows you to gauge engagement with LearnSci products across the year. 

The final two tables in this section provide information about attempts by (anonymised) students and access to the LearnSci side of the platform by staff. 

The student usage table provides data on the number of attempts and resources attempted for each student. You can click on any student ID and scroll back through the dashboard to view the range of activities being attempted by a single student, and the associated time period.

Staff access is not anonymised and enables anyone with access to the dashboard to see when each member of staff at the institution most recently accessed the LearnSci platform.

Smart Worksheet performance

This view provides data on the number of attempts and unique users for each Smart Worksheet within an individual quiz. It also identifies the quiz name and the course where that quiz is located on the LearnSci platform to help you drill down to the correct version of a Smart Worksheet. 


For each row, there is a link to the quiz itself and a button to launch the separate performance dashboard. 

By default, data is limited to the last three months but you can change this using the filters at the top of the board if you are interested in older data.
